User Agreement for people using the Tracker Tool product

Last Updated: 13 July 2021

This agreement is strictly in relation to the activities of those using the Tracker Tool as part of the Digital Care Homes Project.

This agreement explains what data is accessible when using the Tracker Tool and how it can and cannot be used when accessing this product.

Who are we?

Beautiful Information (BI) host this web-based product and manage all user access, maintenance and queries.  To contact about any of these areas, please email caroline.howes@beautifullinformation.org, Head of Delivery for BI.

The IDT are the team in direct liaison with care homes and are the primary users of the Tracker Tool.  To contact them with any questions about the information recorded about any care homes please contact innovationdeliveryteam@kent.gov.uk

What is the Tracker Tool and Dashboard?

The Digital Care Homes Board commissioned a project to produce a Tracker Tool and an associated Dashboard, which was a response to the need to work with the care homes in Kent and Medway to understand their current digital position, support them with iPad allocation (including both locally CCG funded iPads and the iPads offered from NHS X), deliver training support, and monitor usage of digital solutions within care homes.

A web-based Tracker Tool and Digital Maturity Dashboard were developed to display which care homes, and which geographical areas in Kent and Medway (K&M), are using more technology in their daily lives and becoming gradually more ‘digitally mature’, and so enabling resources and support to be directed to care homes depending on their need.  This is a digital development programme and not a quality monitoring tool – care homes are supported to become more digitally mature and the dashboard indicates which care homes would benefit from further support.

The Tracker Tool is a centralised web-based database where information can be accessed and recorded about each care home.  The Tracker Tool is only accessible by certain users who are granted access.  The dashboard is also accessed via dedicated user accounts; a single user account can be granted permission for both applications upon request and review.  The dashboard shows the aggregated and summary pieces of information from the Tracker Tool as well as data from other sources and teams – giving an overview of various projects and their progress in each care home.

How do you gain access to the Tracker Tool?

To be able to gain access and use the Tracker Tool you can register at http://dsc-km.beautifulinformation.org/ under ‘Register New Account’ at the bottom on the page. Beautiful Information will contact you to confirm when your account is active.

What data can I record onto the Tracker Tool?

You can update information about the care homes that you work closely with.  All changes will overwrite the previous information recorded for that care home and therefore the latest version is available for all users of the Tracker Tool.

Is there anything I cannot do with the information on the Tracker Tool?

The email addresses for each care home have been provided purely for the use of this project and therefore must not be used for any activity which is not directly connected with the Tracker Tool.  You must not share these email addresses with anyone either.

Ongoing review of user access

The aim of granting access to the Tracker Tool to professionals who work with care homes is to have a collaborative approach in recording and sharing accurate information about care homes, so that the most accurate data possible is fed into the regional dashboard and therefore ensuring that planning any future projects or support packages to care homes can be done on the most reliable information possible.

There will be ongoing reviews of who has access to the Tracker Tool to ensure this aim is achieved.
